Account Suspension / Appeals Policy

How QuoteFinder.ca handles account restrictions, suspensions, removals, and appeals

Quick summary: QuoteFinder.ca may place warnings, temporary restrictions, suspensions, or account removals when we detect policy violations, fraud risk, billing abuse, security concerns, or other harmful activity. We aim to apply enforcement fairly and proportionately, and in many cases users may request an appeal or re-review. In urgent risk cases, we may act immediately before notice.

1. Purpose of this policy

This Account Suspension / Appeals Policy explains how QuoteFinder.ca (“QuoteFinder.ca”, “we”, “us”, or “our”) may restrict, suspend, or remove access to accounts and platform features, and how users may request an appeal or re-review of certain enforcement actions.

This policy is intended to support trust, platform integrity, user safety, and fair process while allowing QuoteFinder.ca to act quickly when needed to reduce harm.

2. Who this policy applies to

This policy may apply to any QuoteFinder.ca user or account type, including:

  • clients/consumers;
  • providers (agents, brokers, advisors, agencies, and other service providers);
  • brokerages and team accounts;
  • organization admins and team members;
  • users accessing the Platform through secure links or account-based tools.

3. What actions QuoteFinder.ca may take

Depending on the issue, risk level, and account type, QuoteFinder.ca may apply one or more account-level or feature-level actions, including:

  • education notice or policy reminder;
  • warning;
  • temporary feature restriction (for example, messaging, bidding, profile visibility, billing, or team management);
  • temporary hold pending review (including trust & safety, billing, or verification review);
  • temporary account suspension;
  • organization/team-level restrictions;
  • permanent account removal/termination;
  • denial of reactivation or future access.

Proportionate enforcement

We may apply limited feature restrictions instead of full suspension when a narrower response is appropriate. In other situations, full suspension may be necessary to protect users or the Platform.

4. Common reasons for restrictions or suspension

QuoteFinder.ca may restrict or suspend an account for reasons including (without limitation):

  • violations of platform terms, policies, or marketplace rules;
  • fraud, impersonation, deception, or identity misrepresentation;
  • spam, harassment, abusive communications, or messaging abuse;
  • scraping, bot activity, unauthorized data harvesting, or security interference;
  • suspicious account activity or account takeover risk;
  • failure to complete required identity, business, or licensing verification;
  • billing abuse, chargebacks, payment disputes, or repeated payment failures;
  • content violations, review manipulation, or unlawful content;
  • attempts to bypass platform controls, masking, fees, or enforcement actions;
  • legal or regulatory requests, court orders, or urgent risk concerns.

5. Types of account actions (what they mean)

5.1 Warning

A warning is a notice that the account activity appears to violate a rule or create risk. Warnings may include a request to stop certain conduct, correct content, verify information, or update account settings.

5.2 Temporary restriction

A temporary restriction limits one or more features while the rest of the account may remain accessible. Examples may include:

  • message sending limits;
  • quote submission or bidding restrictions;
  • profile visibility pause;
  • billing/credits hold;
  • team admin permission limits.

5.3 Temporary suspension

A temporary suspension blocks access to the account (or key platform features) for a period of time or until a condition is met, such as completing verification, resolving a billing issue, or passing a trust & safety review.

5.4 Permanent removal / termination

Permanent removal/termination means the account is closed or disabled and access is ended (subject to any applicable legal rights). QuoteFinder.ca may also restrict creation of replacement accounts where permitted by law.

Urgent risk cases

QuoteFinder.ca may apply immediate restrictions or suspension without prior notice if we reasonably believe there is fraud, security risk, ongoing abuse, legal risk, or risk of harm to users or the Platform.

6. How enforcement decisions may be made

Enforcement decisions may be based on automated signals, user reports, support complaints, billing events, verification reviews, trust & safety investigations, moderation reviews, legal/compliance review, or a combination of these sources.

We may consider factors such as:

  • severity and potential harm;
  • whether the conduct appears intentional or accidental;
  • repeat behavior or prior warnings;
  • quality/credibility of evidence and logs;
  • account history and cooperation with support;
  • risk to clients, providers, teams, or platform operations;
  • legal or regulatory obligations.

7. Notice of action

Where appropriate and permitted, QuoteFinder.ca may notify the affected user or organization of an enforcement action by email, in-platform notice, or other contact method on file.

The notice may include:

  • the type of action taken (warning, restriction, suspension, etc.);
  • a general reason category (for example, billing, verification, abuse, policy violation);
  • steps to restore access, if available;
  • appeal/re-review options, if applicable.

For security, fraud prevention, legal, or abuse-detection reasons, QuoteFinder.ca may limit the details we provide about internal systems, detection signals, or investigative methods.

8. When access may be restored

Depending on the reason for the action, access may be restored if the user or organization completes required steps such as:

  • stopping prohibited activity;
  • removing or correcting violating content;
  • completing identity/business/licensing verification;
  • resolving billing issues, disputed balances, or chargeback-related holds;
  • updating account security (password reset, access cleanup, etc.);
  • providing requested clarification or documentation.

Restoration is not guaranteed and may be denied if QuoteFinder.ca concludes risk remains too high.

9. Appeals and re-review requests

If you believe an account restriction, suspension, or removal was applied in error, you may contact QuoteFinder.ca and request an appeal or re-review.

We encourage appeals that are specific, factual, and supported by documentation where possible.

9.1 What to include in an appeal

An appeal request is more effective when it includes:

  • account email and role (client/provider/org admin/team member);
  • organization/team name (if applicable);
  • what action occurred (warning, restriction, suspension, removal);
  • when you noticed the issue;
  • why you believe the action was incorrect or should be reconsidered;
  • any supporting evidence (screenshots, documents, transaction IDs, explanations, corrected information);
  • steps you have already taken to fix the issue (if any).

9.2 Appeal review outcomes

After review, QuoteFinder.ca may:

  • uphold the original action;
  • reduce the action (for example, full suspension to feature restriction);
  • restore access in whole or in part;
  • request more information before deciding;
  • extend a temporary hold while review continues;
  • apply conditions for reinstatement (for example, verification or billing resolution).

Corrections can help

In many cases, a clear explanation and corrected information (for example, updated verification documents or billing proof) can make appeals easier to review.

10. Appeals that may be limited or unavailable

Some actions may have limited appeal options, especially where QuoteFinder.ca reasonably believes there is serious fraud, severe abuse, ongoing security risk, repeat evasion, or legal restrictions on disclosure.

QuoteFinder.ca may also decline repeated duplicate appeals that do not provide new information.

11. Temporary holds during investigations

QuoteFinder.ca may place a temporary hold on an account or features while we investigate issues such as fraud reports, identity concerns, chargebacks, suspicious activity, or security incidents.

During a hold, some features may remain available while others are restricted. In higher-risk cases, full access may be paused.

12. Team accounts and organization-level enforcement

For brokerage/team accounts, QuoteFinder.ca may apply enforcement at different levels depending on the issue:

  • individual member level (for example, one user’s messaging restriction);
  • admin/billing permission level;
  • organization/team account level (for example, billing hold or full suspension).

Organization admins may be notified about actions affecting team members or the organization account, subject to privacy, security, and legal considerations.

Internal disputes between team members do not automatically require QuoteFinder.ca to reverse an enforcement action.

13. Related effects on credits, billing, and data

Account suspension or restriction may affect access to credits, subscriptions, messaging, dashboards, profile visibility, and other features.

Billing treatment (including credits, refunds, chargebacks, and dispute handling) is governed by applicable billing terms and our Refund / Credits Policy, in addition to this policy.

QuoteFinder.ca may preserve logs, account records, messages, billing data, and verification records related to enforcement decisions for trust & safety, fraud prevention, legal, and audit purposes, as described in our Privacy Policy and related policies.

14. No right to continued access in all cases

QuoteFinder.ca may deny, limit, suspend, or terminate access to the Platform where permitted by law and the applicable terms, especially to protect users, reduce fraud, enforce policies, or maintain platform integrity.

This policy does not create a guarantee that any account will remain active, be reinstated, or receive a particular enforcement outcome.

15. Re-registration and evasion

Users may not create new accounts, use other accounts, or use organizations/team seats to evade restrictions, suspensions, or removals.

Attempting to bypass enforcement may result in broader account, organization, device, billing, or access restrictions where permitted by law.

16. Relationship to other policies and terms

This policy supplements other QuoteFinder.ca terms and policies, including the Terms of Service (Clients), Terms for Agents / Provider Agreement, Terms for Brokerages / Team Accounts, Trust & Safety Enforcement / Policy Violations, Acceptable Use Policy (AUP), Anti-Spam Policy, and Identity / Verification Policy.

Where a more specific rule applies (for example, billing disputes, content moderation, or verification), that rule may also apply in addition to this policy.

17. Changes to this policy

We may update this Account Suspension / Appeals Policy from time to time to reflect changes in platform features, abuse patterns, legal requirements, or operational practices.
