How QuoteFinder.ca may verify identity, business details, licensing, and account eligibility
1. Purpose of this policy
This Identity / Verification Policy explains how QuoteFinder.ca (“QuoteFinder.ca”, “we”, “us”, or “our”) may request, review, and manage identity and verification information for users of the Platform.
This policy helps support platform trust, fraud prevention, account security, compliance, and fair marketplace participation.

- brokerages and team account administrators/members;

Risk-based verification
Not every user will be asked for the same documents. Verification requirements may vary by role, feature access, risk level, jurisdiction, and platform workflow.
3. Why QuoteFinder.ca may request verification
We may request verification information to help:
- confirm a user or organization is real and authorized to use the Platform;
- reduce fraud, impersonation, spam, and abuse;
- support trust and safety reviews and enforcement decisions;
- verify provider/business identity and marketplace eligibility;
- confirm licensing or professional status where relevant;
- protect billing, credits, subscriptions, and payment-related features;
- investigate suspicious or unusual account activity;
- comply with legal, contractual, or operational requirements.
4. When verification may be requested
QuoteFinder.ca may request verification at different times, including:
- during account creation or onboarding;
- before granting access to certain features (for example, provider dashboards, billing tools, or team admin controls);
- before enabling profile visibility, trust badges, or marketplace participation;
- during periodic or random compliance/trust reviews;
- after account changes (name, business, contact info, ownership, role, payment method, etc.);
- after a complaint, fraud signal, or trust & safety incident;
- when previously submitted documents expire or become outdated;
- when re-verification is required due to policy, legal, or operational changes.
5. What information or documents may be requested
Depending on the account type and reason for review, QuoteFinder.ca may request one or more types of verification information. Examples may include:
5.1 Individual identity verification (examples)
- full legal name;
- date of birth (where reasonably necessary and lawful);
- government-issued photo ID (for example, driver’s licence, passport, or other accepted ID);
- selfie / liveness check (if used through a verification workflow or service provider);
- proof of address (where needed for billing/risk review or legal compliance).
5.2 Provider / business verification (examples)
- business or brokerage legal name and operating name;
- business registration information or incorporation documents;
- business address and contact details;
- website or business email/domain verification;
- proof of affiliation with a brokerage, agency, or organization;
- authorization letter or delegated authority confirmation (where applicable).
5.3 Licensing / professional status verification (examples)
- licence number(s), regulator registration number(s), or credential details;
- jurisdiction(s) of authorization;
- expiry date(s) of licence/credential;
- supporting documents (where needed) showing current status;
- public registry links or regulator lookup information (if available).
5.4 Team account / organization admin verification (examples)
- org admin identity confirmation;
- proof of authority to act for the organization;
- billing contact identity or authorization;
- team ownership/admin control confirmation in dispute cases.
5.5 Payment / billing-related verification (examples)
- billing contact details;
- payment method confirmation through our payment processor;
- supporting information for disputed or high-risk transactions;
- additional checks after chargebacks or unusual billing activity.
Important
The examples above are not a promise that all documents will be accepted in every case. QuoteFinder.ca may accept different documents or request additional information depending on the account type, risk factors, and verification purpose.
6. How verification review works (high-level)
Verification may involve automated checks, manual review, third-party verification services, internal trust & safety review, or a combination of these methods.
During review, QuoteFinder.ca may:
- compare submitted information against account details;
- check for missing, inconsistent, or unreadable documents;
- review document validity, expiry dates, and basic authenticity indicators;
- compare business/licensing details with public sources or regulator listings (where available);
- request clarification, replacement documents, or additional information.
Verification review does not guarantee approval, marketplace placement, or continued access to any specific feature.
7. Verification outcomes
After review, QuoteFinder.ca may take one or more of the following actions:
- approve verification;
- approve with limitations (for example, limited feature access or pending follow-up);
- request additional information;
- decline verification;
- delay a decision while further review is completed;
- suspend access to certain features until verification is completed.
QuoteFinder.ca may choose not to disclose detailed fraud-detection signals, internal review criteria, or risk scores.
8. Expiry and validity of verification
Verification may have a limited validity period depending on the type of check, the document used, the user role, and platform risk controls.
For example, verification may expire or require refresh when:
- a submitted ID or licence expires;
- a business registration or status changes;
- a provider changes brokerage/organization affiliation;
- an org admin changes or team ownership is disputed;
- platform policy or legal requirements change;
- a risk event triggers new review requirements.
Expiry reminder
Even if an account was verified before, QuoteFinder.ca may require a new verification check later. Verification is not necessarily a one-time event.
9. Re-verification (periodic or event-based)
QuoteFinder.ca may require re-verification at any time, including periodic reviews or event-based reviews triggered by account changes or risk indicators.
Re-verification may be requested when:
- documents are expired or near expiry;
- profile, business, licensing, or billing information is changed;
- we receive a complaint about identity, authority, or credentials;
- suspicious activity, fraud signals, or account takeover risk is detected;
- there is a chargeback, payment dispute, or billing abuse review;
- we need to confirm ongoing eligibility for marketplace access or trust badges.
Failure to complete re-verification when requested may result in feature restrictions, profile visibility limits, temporary suspension, or removal from certain marketplace functions.
10. If documents are expired, unclear, or incomplete
QuoteFinder.ca may decline or delay verification if submitted information is incomplete, inconsistent, unreadable, expired, or appears altered.
Examples include:
- blurry or cropped documents;
- mismatched names or account details;
- expired identification or licences;
- missing pages or required fields;
- screenshots or edits that prevent review;
- documents that do not support the requested verification purpose.
Where appropriate, we may allow resubmission with corrected documents.
11. Fraud, impersonation, and misrepresentation
Submitting false, forged, altered, borrowed, misleading, or unauthorized verification documents or information is prohibited and may result in immediate enforcement action.
This includes (without limitation):
- using another person’s ID or credentials without authorization;
- altering expiry dates, names, or document details;
- misrepresenting licensing or professional status;
- falsely claiming authority to act for a brokerage or team account;
- attempting to bypass prior restrictions using new identities/accounts.

12. Privacy and handling of verification information
Verification information may contain sensitive personal or business information. QuoteFinder.ca handles verification data in accordance with our Privacy Policy and applicable law.
We may use verification information for identity confirmation, account security, fraud prevention, trust & safety review, compliance, support, and dispute handling.
Verification data may be reviewed by authorized personnel and/or service providers acting on our behalf, depending on the workflow used.
13. Retention of verification records
QuoteFinder.ca may retain verification submissions, review notes, timestamps, and outcome records for as long as reasonably necessary for platform operations, fraud prevention, trust & safety, billing disputes, legal/compliance obligations, or audit purposes.
Retention periods may vary depending on the type of verification, user role, and reason the records were collected.

14. Third-party verification services
QuoteFinder.ca may use third-party vendors or service providers to support verification, fraud detection, document review, or identity checks.
These providers may process submitted information on our behalf to deliver verification services. Use of such providers does not eliminate your responsibility to provide accurate and lawful information.
15. Failure or refusal to verify
If you do not complete a requested verification process, QuoteFinder.ca may limit or deny access to some features or services, including (for example):
- provider onboarding or marketplace participation;
- team admin/billing permissions;
- profile publication or visibility;
- trust badges or verified status indicators;
- continued use of high-risk or restricted platform functions.
QuoteFinder.ca may also suspend or close accounts where verification is required for security, fraud prevention, or compliance reasons and is not completed.
16. Appeals, corrections, and re-review requests
If you believe a verification decision was made in error, you may contact support and request a re-review.
To support a re-review request, include:
- your account email and role (client/provider/org admin);
- the type of verification requested;
- what outcome you received (for example, declined or pending more info);
- why you believe the decision was incorrect;
- corrected or additional documents, if available.
QuoteFinder.ca may uphold, revise, or reverse a verification decision after review.
17. Relationship to other policies and terms
This Identity / Verification Policy supplements other QuoteFinder.ca terms and policies, including the Terms of Service (Clients), Terms for Agents / Provider Agreement, Terms for Brokerages / Team Accounts, Privacy Policy, Acceptable Use Policy (AUP), and Trust & Safety Enforcement / Policy Violations.
Where a more specific verification rule applies to a program, feature, or workflow, that rule may also apply in addition to this policy.
18. Changes to this policy
We may update this Identity / Verification Policy from time to time to reflect changes in platform features, verification methods, vendors, legal requirements, or operational needs.
When we update this page, we will post the revised version and update the “Last updated” date below.
