These Terms are a binding agreement between the organization/brokerage/team account holder (“you”) and the operator of QuoteFinder.ca. By creating, administering, or using a brokerage/team account, inviting team members, purchasing credits, or accessing team features, you agree to these Terms on behalf of the organization and its authorized users.

1) Scope and who these Terms apply to

These Terms apply to brokerages, agencies, firms, companies, and other organizations using QuoteFinder.ca through a team, brokerage, or other multi-user organization account structure.

They also apply to organization administrators, team managers, and authorized staff or members who access the team account under your authority.

Separate terms and policies may also apply

How these Terms interact with provider terms

Team members may also be subject to the Terms for Agents / Provider Agreement when using provider features. These Team Account Terms focus on organization-level responsibilities (admins, seats, permissions, governance, billing, data handling, and team conduct).

2) Definitions (plain-English)

“Organization Data”Profile details, team settings, messages, responses, uploads, documents, and other information submitted or managed through the team account

3) Organization authority and acceptance

The person creating or administering a brokerage/team account represents and warrants that they have authority to act on behalf of the organization and to accept these Terms for the organization and its authorized users.

You are responsible for ensuring:

  • team admins and members are properly authorized to use the account;
  • internal permissions and delegated authority match real job responsibilities;
  • former staff or unauthorized users are removed promptly;
  • only approved users are given access to client information and team workflows.

Delegated authority is your responsibility

If an admin or team member acts within permissions you granted (or failed to revoke), the organization may remain responsible for those actions under these Terms and applicable law.

4) Eligibility and team account requirements

To use QuoteFinder.ca as a brokerage/team account, your organization must:

  • be legally capable of entering into a binding agreement;
  • provide accurate organization identity and contact information;
  • use the platform for lawful, professional purposes only;
  • comply with applicable licensing, registration, privacy, anti-spam, and professional obligations in the jurisdictions where you operate;
  • not be prohibited or suspended from using QuoteFinder.ca.

Licensing and regulatory responsibility

QuoteFinder.ca may request verification or supporting information, but your organization remains solely responsible for maintaining all licenses, registrations, appointments, permissions, and regulatory requirements applicable to your operations and the services you offer.

5) Team account setup, admins, seats, and member access

QuoteFinder.ca may provide team account features such as admins, members, role controls, seats, and workflow permissions. Feature availability may vary by account type, plan, rollout stage, or platform configuration.

Team admin responsibilities

  • assign and maintain appropriate roles/permissions;
  • invite only authorized users;
  • review and remove inactive or former users promptly;
  • maintain accurate organization profile and public-facing information;
  • oversee policy compliance and platform notices for the team account;
  • manage billing/credits access if admin-level billing permissions are enabled.

Seat/member access rules (if applicable)

  • seats or member access may be limited by plan, pricing, or platform settings;
  • you may not share a single member login across multiple people where individual access is expected;
  • QuoteFinder.ca may restrict team account access if member ownership/access control is unclear;
  • the organization is responsible for how admin rights are delegated and used.

Best practice

Use role-based access and named user accounts (not shared credentials). This improves security, accountability, and internal workflow clarity.

6) Verification, re-verification, and organization document requests

QuoteFinder.ca may request identity, business, licensing, profile, or other supporting information/documentation from your organization or its authorized representatives for onboarding, verification, re-verification, trust & safety review, account recovery, risk review, payment review, or ongoing platform compliance.

You agree to:

  • provide accurate, non-misleading information and documents;
  • submit materials through approved workflows/channels;
  • respond in a timely manner to verification and re-verification requests;
  • update your information if it becomes inaccurate, outdated, or expired;
  • cooperate reasonably with platform requests related to account ownership/admin authority verification.

Verification status can change

Verification is not always permanent. QuoteFinder.ca may require re-verification after document expiry, ownership/admin changes, account risk review, or policy/workflow changes.

7) Organization profile, identity, and representation standards

You must keep your organization profile and related provider/team information accurate, current, and not misleading.

You must not:

  • misrepresent your organization’s identity, licensing status, affiliations, or service areas;
  • claim credentials, approvals, or partnerships you do not have;
  • use names, logos, or branding you are not authorized to use;
  • misrepresent team members’ roles, qualifications, or authority;
  • imply QuoteFinder.ca endorses your organization or guarantees results unless the platform expressly states so.

You should also:

  • keep service categories/regions aligned with real operations;
  • remove outdated staff listings, titles, headshots, and claims promptly;
  • use clear, professional language that accurately reflects your services.

8) Team member conduct and organization responsibility

Your organization is responsible for the conduct of its admins and team members when they access or use the team account, including messages, quote responses, data handling, uploads, and marketplace participation.

You agree to:

  • train team members on platform rules and professional communication standards;
  • set internal expectations for who handles quote requests and client communications;
  • monitor for misuse, duplicate outreach, or unauthorized conduct;
  • take corrective action when staff violate platform rules or internal policies;
  • cooperate with QuoteFinder.ca in investigations involving your team account.

Organization-level accountability

Repeated misuse by team members may lead to restrictions or enforcement against the organization account, not only the individual user.

9) Marketplace participation and quote request rules (team accounts)

QuoteFinder.ca may make quote requests available to brokerages/teams through dashboards, marketplace views, routing, invitations, assignment workflows, or other team features. Availability and eligibility may vary by category, region, account type, verification status, credits, timing, and platform configuration.

No guarantee of volume or outcomes

  • QuoteFinder.ca does not guarantee any minimum number of quote requests, invites, responses, client selections, conversions, or revenue.
  • Marketplace visibility and access may depend on profile status, eligibility, credits, competition, routing, and platform rules.
  • Client selection decisions are made by clients and/or platform workflow rules, not guaranteed by QuoteFinder.ca.

Team workflow expectations

  • avoid duplicate or conflicting responses from multiple staff to the same request unless the workflow clearly allows it;
  • assign internal ownership to reduce confusion and dropped handoffs;
  • use professional, relevant, quote-related communications;
  • do not over-promise pricing, approvals, eligibility, or outcomes;
  • comply with platform messaging, masking, and conduct rules.

Why this matters

Team accounts are designed to improve workflow quality and accountability. Disorganized internal use can create a poor client experience and increase compliance risk.

10) Communications, messaging, and contact rules

If QuoteFinder.ca provides messaging or communication workflows for your organization/team, you must ensure admins and members use them professionally and lawfully.

Your organization and team members must not:

  • harass, threaten, intimidate, or spam clients or other users;
  • send deceptive, misleading, or impersonating messages;
  • use quote-related messaging for unrelated mass marketing or solicitation;
  • circumvent platform protections, masking, redaction, or user preferences in violation of platform rules;
  • request unnecessary sensitive information too early or without a clear reason.

You agree to respect:

  • client communication preferences and opt-outs, where applicable;
  • platform messaging limitations and workflow restrictions;
  • anti-spam and privacy obligations applicable to your communications.

11) Client information and data handling (organization obligations)

Client information made available through QuoteFinder.ca may be used only for legitimate, permitted purposes related to the relevant quote request and your professional follow-up within platform rules and applicable law.

Your organization agrees to:

  • limit access to client information to authorized personnel who need it;
  • use client information only for permitted quote/request-related purposes;
  • implement reasonable safeguards for any client information you store or process;
  • avoid selling, renting, or misusing client information obtained through the platform;
  • respect opt-outs and lawful communication limits;
  • remove or restrict access for former staff promptly.

Internal governance expectations (recommended)

  • define who can view/handle requests and messages;
  • set internal retention and deletion practices consistent with your legal obligations;
  • review team access periodically;
  • escalate suspicious activity or misuse quickly.

Your compliance remains your responsibility

QuoteFinder.ca may publish policies and guidance, but your organization remains responsible for its own privacy compliance, anti-spam compliance, supervision, recordkeeping, and lawful communications in the jurisdictions where it operates.

12) Billing owner, fees, credits, and payment terms

Certain team account features may require payment, credits, subscriptions, or other charges. If your organization purchases or uses paid features, the pricing and billing terms shown at purchase/order time (and applicable policy pages) apply in addition to these Terms.

Billing owner and admin permissions

  • the organization is responsible for designating who may purchase, manage, or use billing/credits features;
  • actions taken by authorized billing admins may be treated as actions of the organization;
  • you are responsible for controlling and reviewing billing-related permissions;
  • QuoteFinder.ca may rely on the team account’s designated billing/admin roles unless notified otherwise and updated in the system.

Credits (if used on your account/workflow)

  • credits may be required for specific team/provider actions (for example bidding/unlocking/responding, where applicable);
  • credit requirements may vary by feature, category, region, marketplace configuration, or platform updates;
  • credits may be consumed based on platform rules and workflows in effect at the time of use.

General billing terms

  • you authorize QuoteFinder.ca and its payment processors to charge the payment method(s) provided for applicable fees and taxes;
  • you are responsible for keeping billing information current and valid;
  • failed, reversed, or disputed payments may result in feature restrictions, holds, negative balances, or suspension until resolved;
  • QuoteFinder.ca may use third-party payment processors and service providers.

Refunds, credits reversals, and disputes

Refund eligibility, credit reversals, and billing dispute rules are governed by the applicable refund/credits policy and plan-specific terms.

No guaranteed return on spend

Credits, subscriptions, and participation fees do not guarantee quote volume, client responses, client selection, conversions, revenue, or business outcomes.

13) Organization content and license to QuoteFinder.ca

You retain ownership of your Organization Data and content, subject to the rights granted in these Terms and rights needed to operate the platform.

You grant QuoteFinder.ca a license to:

  • host, store, process, display, and transmit Organization Data as needed to operate team, provider, and client workflows;
  • format, reproduce, and adapt content for technical compatibility, moderation, support, and display;
  • use organization profile/business information in platform features, directories, and client/provider-facing contexts consistent with the platform and your settings.

You represent that:

  • you have the rights/authority to submit and use the content and branding you provide;
  • your content does not infringe third-party rights or violate law;
  • your submitted information is accurate and not materially misleading.

14) Prohibited conduct (organization/team accounts)

You may not use QuoteFinder.ca in a way that is unlawful, abusive, deceptive, or harmful to clients, providers, the platform, or marketplace integrity.

Examples of prohibited conduct include:

  • fraud, impersonation, identity misrepresentation, or false credentials;
  • misrepresenting team members, licensing status, or service capabilities;
  • sharing credentials or allowing unauthorized access to team accounts;
  • spam, harassment, threats, or abusive communications by admins or staff;
  • scraping, bulk extraction, unauthorized bots, or attempts to copy marketplace data at scale;
  • circumventing access controls, masking/redaction features, workflow restrictions, or billing systems;
  • misusing client data in violation of platform rules or applicable law;
  • attempting to manipulate marketplace visibility, routing, rankings, or outcomes unfairly;
  • uploading malicious code, harmful files, or disrupting platform operations.

15) Monitoring, moderation, and enforcement

QuoteFinder.ca may monitor, review, investigate, moderate, or restrict organization/team use of the platform to enforce these Terms, protect users, maintain marketplace integrity, comply with law, or address security/trust concerns.

Possible enforcement actions may include:

  • warnings or requests for corrective action;
  • member role changes or access restrictions;
  • content/profile removal or edit requests;
  • verification/re-verification requirements;
  • billing/credits holds or feature limitations;
  • temporary suspension of specific users or the team account;
  • termination of the organization/team account;
  • other reasonable actions permitted by law and platform policy.

Case-by-case review

QuoteFinder.ca may review enforcement matters based on available evidence, severity, repetition, platform risk, payment status, and safety considerations. Not all cases will be handled identically.

16) Suspension, termination, and effect of termination

Your organization may stop using QuoteFinder.ca at any time, subject to any outstanding payment obligations, unresolved disputes, or legal obligations.

QuoteFinder.ca may suspend or terminate your team account where permitted by law, including for policy violations, payment failure, verification issues, misuse, fraud risk, unclear account ownership/admin authority, security concerns, or marketplace integrity concerns.

After suspension/termination, QuoteFinder.ca may:

  • disable team and/or member access and related features;
  • retain records as needed for legal, security, fraud prevention, accounting, and enforcement purposes;
  • require additional verification before reactivation (if offered);
  • limit re-registration or new team creation where misuse or risk concerns exist;
  • continue to enforce sections that should survive termination (including billing, limitations, indemnity, disputes, and data-related obligations).

17) Changes to features, team tools, or pricing

QuoteFinder.ca may add, remove, modify, or discontinue team account features, role/permission tools, workflow logic, categories, messaging tools, marketplace behavior, or billing/credits functionality from time to time.

QuoteFinder.ca may also change pricing, seat limits, subscriptions, credit requirements, or fee structures for paid features, subject to applicable law and any required notice.

18) Disclaimers (important)

QuoteFinder.ca provides a platform for quote request workflows and team/provider participation. To the maximum extent permitted by law, the platform is provided on an “as is” and “as available” basis without warranties of any kind, whether express, implied, or statutory, except as expressly required by law.

QuoteFinder.ca does not warrant (for example):

  • that the platform will be uninterrupted, error-free, or available at all times;
  • that quote requests or user-provided information are complete, accurate, or suitable for your organization;
  • that any team workflow will prevent internal mistakes or supervision failures;
  • that clients will respond, select your team, or convert into business;
  • that paid participation will produce any specific financial result.

Your organization remains responsible for supervision and professional judgment

You are responsible for your internal processes, staff supervision, compliance checks, communications, and business decisions when using platform information and features.

19) Limitation of liability

To the maximum extent permitted by applicable law, QuoteFinder.ca and its operators, affiliates, officers, directors, employees, contractors, and service providers will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost business, lost goodwill, or data loss arising out of or related to your use of (or inability to use) the platform, even if advised of the possibility of such damages.

To the maximum extent permitted by law, the total liability of QuoteFinder.ca for claims arising out of or related to these Terms or your organization/team use of the platform will not exceed the greater of (a) the amount your organization paid to QuoteFinder.ca for team/provider features in the 3 months before the event giving rise to the claim, or (b) CAD $100.

Nothing in these Terms limits liability that cannot be limited under applicable law.

20) Indemnity

You agree to defend, indemnify, and hold harmless QuoteFinder.ca and its operators, affiliates, officers, directors, employees, contractors, and service providers from and against claims, liabilities, losses, damages, judgments, costs, and expenses (including reasonable legal fees) arising out of or related to:

  • your organization’s or team members’ conduct, services, communications, or interactions with clients;
  • Organization Data or content submitted through the team account;
  • your violation of these Terms or applicable policies;
  • your violation of law, regulation, or third-party rights;
  • misuse of client information or platform features by your organization/admins/members;
  • unauthorized or improper delegation of access/permissions within your team.

21) Governing law and dispute resolution

These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein, without regard to conflict of law principles, except where mandatory law requires otherwise.

Any dispute arising out of or relating to these Terms or your organization/team use of QuoteFinder.ca will be brought before the courts located in Ontario, Canada, and you consent to the jurisdiction of those courts, except where applicable law requires a different forum.

Before escalating a dispute (recommended)

If you have a billing, platform, verification, policy, or team access issue, contact support first so the issue can be reviewed and, where possible, resolved without formal proceedings.

22) Notices and organization communications

QuoteFinder.ca may send account, billing, verification, policy, security, operational, or legal notices by email, dashboard notice, platform message, or other reasonable methods linked to the team account or designated admins.

Your organization is responsible for maintaining accurate contact details, billing contacts, and admin recipients, and for checking account communications.

23) Assignment and relationship of parties

You may not assign or transfer your rights or obligations under these Terms without QuoteFinder.ca’s prior written consent.

QuoteFinder.ca may assign or transfer these Terms in connection with a corporate reorganization, merger, sale, or transfer of the platform/business, subject to applicable law.

Nothing in these Terms creates an employment, partnership, joint venture, franchise, fiduciary, or agency relationship between your organization and QuoteFinder.ca. QuoteFinder.ca is a platform operator, not your employer, brokerage manager, or compliance supervisor.

24) Entire agreement, severability, and waiver

These Terms, together with applicable policies and any plan/order-specific terms referenced by QuoteFinder.ca, form the agreement between your organization and QuoteFinder.ca regarding team/brokerage account use.

If any provision is found unenforceable, the remaining provisions will remain in effect to the maximum extent permitted by law. A failure to enforce any provision is not a waiver of future enforcement.
