Brokerage / Team Participation Standards
This page sets out organization-level participation standards for brokerages and teams using QuoteFinder.ca. These standards explain expectations for supervision, account access, internal responsibility, quote quality, and team operations on the platform.
Quick summary: Brokerage/team accounts must supervise members, use role-based access responsibly, avoid account sharing, maintain accurate profiles and coverage settings, and ensure quote responses are clear, professional, and compliant with platform rules. Brokerage/team admins are responsible for organization-level conduct on the platform.
Why these standards exist
QuoteFinder.ca supports brokerage/team accounts so organizations can participate in the marketplace using shared workflows, routing, and member roles. Organization accounts create additional responsibility because multiple people may act under one account structure.
These standards help protect consumers, improve marketplace trust, and clarify what QuoteFinder.ca expects from brokerages/teams beyond the general provider rules in the Marketplace Rules / Code of Conduct.
Who these standards apply to
- Brokerage/team owners
- Admins and managers with account control, billing, routing, or supervision responsibilities
- Agents/brokers and staff members using a brokerage/team account
- Operations or billing users with access to platform records or team tools
Core organization responsibilities
What QuoteFinder.ca expects from brokerages/teams
- Supervision: organizations must monitor how team members use the platform.
- Accountability: actions taken by team members may affect the organization account.
- Accuracy: organization and member information should be current and not misleading.
- Quality: responses should be clear, relevant, and professionally handled.
- Privacy & safety: client information and platform controls must be used responsibly.
Team supervision standards
Active oversight is required
Brokerage/team accounts must maintain reasonable oversight of member activity on QuoteFinder.ca. This includes monitoring who has access, how quote requests are handled, and whether platform rules are being followed.
Admin and manager responsibilities
Owners, admins, and managers are expected to supervise marketplace participation and maintain internal controls appropriate for the team’s size and workflow. This includes responding to platform notices, policy warnings, and account issues in a timely way.
Internal escalation and issue handling
Brokerages/teams should have a clear internal process for handling account misuse, customer complaints, misrouted requests, and inappropriate member conduct. QuoteFinder.ca may ask an organization to correct internal issues as part of maintaining account standing.
Account access and account sharing rules
Account sharing rules
- Do not share passwords between multiple users.
- Do not use generic shared logins where role-based access is available.
- Do not keep former staff or contractors on active accounts.
- Use individual member accounts and role permissions whenever possible.
Role-based access expectations
Brokerages/teams should assign the minimum access necessary for each member’s role. Billing, routing, team settings, and compliance tools should be limited to users who need those permissions.
Access changes and offboarding
Brokerages/teams must promptly update or remove access when a team member changes roles, leaves the organization, or should no longer have platform access. Delayed offboarding may create privacy, security, and accountability risks.
Responsibility for account activity
Brokerage/team accounts are responsible for activity that occurs under their organization account and member accounts, including quote responses, messages, profile edits, routing changes, and billing actions, subject to platform records and dispute review processes.
Internal responsibility and governance
Organization-level responsibility
A brokerage/team account is expected to manage internal participation responsibly. This includes making sure members understand platform rules, profile standards, communication expectations, and privacy requirements.
Member conduct reflects on the organization
Repeated issues from individual members may affect the standing of the brokerage/team account, especially where the organization fails to supervise, correct, or limit improper conduct.
Use of internal workflows and routing tools
Where routing or assignment tools are available, brokerages/teams should use them consistently and accurately. Organizations should avoid internal practices that create confusion about who is responding, who is responsible for follow-up, or what services the organization actually offers.
Profile and coverage accuracy standards
Organization profile accuracy
Brokerage/team profiles should accurately describe the organization’s service areas, categories, contact details, and platform participation information. Profiles must not contain misleading claims, false affiliations, or inaccurate verification descriptions.
Member profile accuracy
Brokerages/teams should ensure members using the platform maintain accurate individual profile information where member profiles are displayed or used in provider responses.
Coverage and availability settings
Service areas, provinces, categories, and routing settings should be kept up to date. Incorrect coverage settings can lead to poor user experience, irrelevant responses, and marketplace quality issues.
Quote quality expectations (brokerage/team accounts)
QuoteFinder.ca expects brokerage/team responses to be professional, relevant, and clear. Quality standards apply to organization workflows and to the individual members responding under the team account.
What good quote responses should generally include
- Clear, relevant response content tied to the consumer’s request
- Professional tone and understandable next steps
- Accurate representation of what the provider can and cannot do at that stage
- No bait wording, placeholder text, or misleading claims
- Respect for platform messaging and privacy controls
Quote quality issues that may trigger review
- Repeated low-effort or generic responses that do not address the request
- Misleading claims about pricing certainty, availability, or coverage before required review/underwriting
- Responses submitted by ineligible members or outside stated service areas
- Inconsistent team responses that create confusion or contradict profile information
- Aggressive or pressuring sales language that violates platform conduct rules
Team-level quality control
Brokerages/teams are encouraged to maintain internal review practices for quote responses, especially where multiple members reply under one organization. Internal standards can improve consistency, reduce disputes, and support better account standing.
Communication standards for teams
Professional conduct
All team members must communicate professionally with consumers and with QuoteFinder.ca support. Harassment, threats, repeated pressure, abusive language, or retaliatory conduct are not permitted.
Use of platform messaging and privacy controls
Where platform messaging, masking, or redaction controls are available, brokerages/teams must use them as intended. Team members must not attempt to bypass these controls in ways that undermine consumer safety or platform trust.
Internal coordination
Brokerages/teams should coordinate internally to avoid duplicate outreach, conflicting responses, or unclear handoffs between team members. Consumers should not be left unsure who is handling their request.
Privacy, data handling, and responsible use
Brokerages/teams must use information received through QuoteFinder.ca only for legitimate quote-related activity and related follow-up connected to the platform interaction, subject to platform rules and applicable obligations.
Not allowed
- Using platform-sourced information for unrelated spam or marketing campaigns
- Sharing client information internally beyond what is reasonably necessary for service handling
- Selling, scraping, or republishing personal information obtained through the platform
- Circumventing platform privacy protections or masking controls
See Privacy Policy, Security & Data Retention Overview, and Safety & Fraud Prevention for more information.
Verification, badge use, and representation standards
Use badge language accurately
Brokerages/teams must describe QuoteFinder.ca verification badges and platform trust signals accurately. Organizations must not represent a platform badge as a regulator-issued license or as a guarantee of outcomes.
Organization badge vs individual badge
A brokerage/team verification badge applies to the organization account under platform criteria. It does not automatically verify every individual member. If individual member badges are shown, those badges must be interpreted separately.
See Verified Brokerage / Team Program and Verified Agent Program.
Billing, credits, and internal control standards
Billing accountability
Brokerage/team admins are responsible for monitoring credits, subscriptions, invoices, and billing activity associated with the organization account. Internal responsibility for billing should be clear.
No billing abuse
Brokerages/teams must not abuse credits, payment systems, or billing workflows, including chargeback misuse, duplicate-account workarounds, or other conduct that violates platform terms.
See How We Make Money and Refund / Credits Policy.
Monitoring, audits, and platform review
QuoteFinder.ca may review brokerage/team account activity to maintain marketplace quality, investigate reports, and enforce platform rules. This may include review of account settings, profile content, timestamps, response patterns, and messages where applicable and permitted.
Brokerages/teams may be asked to clarify internal workflows, correct profile/coverage settings, or address repeated conduct issues as a condition of continued participation.
Enforcement for brokerage/team standard violations
Violations of these participation standards may lead to organization-level and/or member-level enforcement, depending on the issue and severity.
| Possible action | What it may involve | Example reasons |
|---|---|---|
| Warning / corrective notice | Request to correct profiles, routing, access, or team practices | Minor or first-time governance/quality issues |
| Feature restriction | Limits on messaging, routing, quoting, or admin actions | Repeated quality or supervision issues |
| Member-specific restriction | Suspension/removal of a specific member’s access | Member misconduct or policy violations |
| Visibility limitation | Reduced organization/profile visibility or marketplace access | Ongoing quality, accuracy, or compliance issues |
| Organization suspension | Temporary suspension of team account access | Serious or repeated violations |
| Removal / termination | Organization account removal from the platform | Fraud, severe abuse, or repeated non-compliance |
QuoteFinder.ca may act without prior warning where there is an immediate safety, fraud, impersonation, privacy, or security risk.
