Verification Help / Document Submission Guide
Plain-English help for identity, business, and compliance document submission on QuoteFinder.ca
Who this page is for
This page is for providers, brokerages, team admins, and team members who may be asked to complete identity, business, licensing, or re-verification checks on QuoteFinder.ca.
It is a practical help guide in plain English. It does not replace the platform’s binding verification rules or your legal/compliance obligations.
Important
This page explains the process in plain English. The binding rules are in the Identity / Verification Policy and applicable provider/team terms.
Why QuoteFinder.ca may request verification
Verification helps support marketplace trust, reduce impersonation and fraud risk, and confirm that provider and organization accounts are set up accurately.
Depending on your role and workflow, QuoteFinder.ca may request verification to confirm identity, business affiliation, licensing/registration details, billing authority, or changes to your account.
Who may be asked to verify
- individual agents, brokers, or advisors;
- brokerage/team admins or organization owners;
- team members/staff with certain access levels;
- accounts with updated business details, ownership changes, or role changes;
- accounts flagged for re-verification, expiry refresh, or risk review.
What verification may include (high-level)
The exact requirements vary by account type, role, and workflow. Verification may include one or more of the following:
- Identity verification (confirming the person using the account);
- Business / organization verification (confirming business identity or affiliation);
- Licensing / registration verification (where applicable to your service category/jurisdiction);
- Admin authority verification (confirming who can manage team/billing/admin settings);
- Re-verification after expiry, major account changes, or risk events.
Verification can be role-based
Not every user is asked for the same documents. Requirements may differ for an individual agent, a team admin, and a brokerage account.
Before you submit documents (important checklist)
Most delays are caused by preventable document issues. Use this checklist before uploading anything:
- Make sure the document is current (not expired, if expiry applies).
- Make sure the document is readable (sharp photo/scan, not blurry).
- Make sure the name/details match your account/profile where applicable.
- Make sure the full document is visible (no cropped corners, cut-off text).
- Make sure the file is uploaded in the requested area/workflow.
- Do not submit extra documents that were not requested unless support asks for them.
Best practice
Submit the clearest, simplest document(s) that directly satisfy the request. Extra files can slow review if they create confusion.
Document quality guide (how to avoid rejection)
Photos and scans should be:
- clear and in focus (text must be readable when opened at normal size);
- well-lit (no glare, shadows, or overexposure hiding text);
- complete (all edges/corners visible unless the request says otherwise);
- unaltered (no edits, overlays, markup, or covered sections unless instructed);
- upright (rotate before uploading so reviewers can read it easily).
Avoid these common photo/scan problems
- blurry camera photos;
- glare from flash or room lighting;
- cropped names, dates, licence numbers, or page edges;
- dark backgrounds that reduce contrast;
- screenshots of screenshots (quality loss);
- documents photographed at an angle so text is distorted.
Name matching and profile accuracy (very common issue)
If the name, business name, or role on your account does not reasonably match the document you submit, your verification may be delayed while clarification is requested.
Before submitting, check:
- your profile name and spelling;
- your brokerage/team affiliation details;
- your role/title (if relevant to the request);
- whether your team admin needs to update your profile before you submit.
Profile mismatch = delays
A clear document can still be delayed if your account/profile information is outdated or does not match what was submitted.
Common reasons verification submissions are delayed or rejected
- document is blurry, cut off, or unreadable;
- document appears expired (where expiry applies);
- submitted file does not match what was requested;
- name/business details do not match account/profile information;
- missing pages or incomplete document upload;
- duplicate uploads that create confusion;
- wrong person submitted the document for a team/admin request;
- additional clarification is needed due to recent account changes.
How to submit documents more efficiently (team and brokerage accounts)
If you manage a brokerage or team account, verification usually goes more smoothly when one person coordinates submissions.
Team admin / compliance coordinator tips
- assign one person to monitor verification requests;
- track who is responsible for each requested document;
- confirm profile names/roles are correct before upload;
- submit clean files with clear labels (if the workflow supports it);
- avoid multiple team members submitting different versions of the same document;
- respond quickly to follow-up requests for clarification.
Reduce back-and-forth
Teams usually get faster verification outcomes when one admin/coordinator handles submissions instead of multiple staff uploading documents separately.
Re-verification (why it can happen later)
Even if your account was verified before, you may be asked to verify again later.
Common reasons include:
- document expiry or renewal date passed;
- changes to business ownership/admin authority;
- role changes or team affiliation changes;
- profile/business detail changes;
- risk review, account security concerns, or policy checks.
What happens after you submit documents
After submission, QuoteFinder.ca may review the documents and account details for completeness and consistency. Depending on the workflow, you may receive:
- a confirmation that the submission was received;
- a request for clearer or additional documents;
- a verification status update (approved, pending, needs action, etc.);
- a temporary restriction while review is pending (in some cases).
Review timing can vary depending on request type, complexity, account changes, and queue volume.
Review timing varies
There is no universal timeline for every verification request. Complex submissions, mismatches, or missing information can take longer to resolve.
Verification status meanings (plain-English examples)
Status labels may vary by workflow, but these are common meanings:
| Status | What it usually means | What you should do |
|---|---|---|
| Pending / In review | Your submission was received and is being reviewed | Monitor your email/dashboard for follow-up requests |
| Needs action / More info required | Something is missing, unclear, or does not match | Read the request carefully and submit the requested correction only |
| Verified / Approved | The requested verification step is complete (subject to future re-verification if needed) | Keep documents/profile details current |
| Restricted pending verification | Some features may be limited until review is completed | Complete the requested verification promptly or contact support if unclear |
If you are not sure what document was requested
Do not guess and upload random documents. That often slows review.
Instead:
- re-read the verification request notice/email carefully;
- check whether the request is for you personally, your team admin, or the organization;
- ask your team admin if you are on a brokerage/team account;
- contact support and ask for clarification if the request is still unclear.
Privacy and security tips for document submission
Verification documents can be sensitive. Use care when handling and submitting them.
- Submit documents only through approved QuoteFinder.ca workflows/channels.
- Do not post verification documents in public chats or shared channels.
- Do not send unnecessary documents “just in case.”
- Use your own secure account/login (no shared credentials).
- If you suspect account compromise, contact support immediately and label the message Security Report.

FAQs (Verification & Document Submission)
Why was my document rejected if it is valid?
A valid document can still be rejected or delayed if it is blurry, cropped, expired (where relevant), does not match the request, or does not match your current account/profile details.
Can my team admin submit documents for me?
In some team workflows, yes, depending on the type of verification and role. Ask your team admin first. Some requests may need to be completed by the specific user or authorized admin.
I submitted documents but my account is still restricted. What should I do?
Check for follow-up requests or status messages. Your submission may be pending review, or more information may be needed. If nothing is clear, contact Contact / Support.
Will I need to verify again in the future?
Possibly. Re-verification may be required due to expiry, account changes, role changes, admin changes, or risk/compliance review.
Can I submit screenshots instead of original photos/scans?
Only if they are clear, complete, and match what was requested. In general, a clear direct photo/scan of the requested document is better than a low-quality screenshot.
What if my legal name and display/profile name differ?
That can cause delays. Update your profile (or ask your team admin to update it) and explain the mismatch when requested so the reviewer can understand the reason for the difference.
